K9 TMRS Privacy Policy

Who we are

K9 TMRS LTD is a company registered in Scotland (company number SC810411), with its registered office at St Kilda Cottage, 25 Balgove Road, Gauldry, Newport-on-Tay, Fife, DD6 8SH, United Kingdom. We make timing systems and software for dog sports.

This policy explains what personal data we collect and why, across everything we do:

  • This website, k9tmrs.com.
  • Orders for our timing systems and hoops.
  • The K9 TMRS app for Android and iOS.
  • Hooplan, our course design web app at hooplan.k9tmrs.com.

For all of these, K9 TMRS LTD is the data controller. Questions, requests and complaints all go to [email protected].


The short version

  • We collect only what we need to sell you equipment, run our apps and answer your messages.
  • No advertising anywhere — we show no ads and use no advertising identifiers.
  • No tracking cookies. The only cookies our apps set are the ones that keep you signed in.
  • We never sell personal data, and we share it only with the service providers listed below.

This website

k9tmrs.com is a static site. It has no accounts, sets no cookies of its own, and runs no analytics or advertising scripts. If you email us, we keep the correspondence for as long as we need it to help you.

Like any website, the servers that deliver it see your IP address: the site is hosted by GitHub Pages (GitHub, Inc.), and its fonts are loaded from Google Fonts, so GitHub and Google receive the standard technical request data (IP address, browser type) needed to serve you the page. We don't receive or store that data ourselves.


Orders for timing systems and hoops

When you order equipment we collect your name, contact details, delivery address and order details — the minimum needed to build, deliver and support what you bought.

Payment is taken either by card through Stripe, our payment processor — your card details go directly to Stripe and never touch our systems — or by bank transfer, in which case we see the payment reference on our bank statement.

Why (legal basis): fulfilling your order and providing warranty support (contract), and keeping accounting records (legal obligation). We keep order and invoice records for six years, as UK tax law requires; after that they are deleted.


The K9 TMRS app

The K9 TMRS app turns your phone into the display and controller for our timing gates. It processes:

  • Licence and subscription records — stored in Google Firebase so the app knows your subscription is active (contract).
  • Run times and results — when a show uses our system, beam-break times are matched to the entries the show provides (such as ring number, and competitor and dog names) and sent to the show's results service so the event can be scored. The show organiser controls its entry list; we transmit and display it to run the event.
  • Diagnostics — the app reports usage analytics and crash information (device model, operating system, app events, crash traces) so we can find and fix problems (legitimate interest). This contains no advertising identifiers, and the app shows no ads.

Hooplan

Hooplan is our web app for designing Hoopers courses. It works as follows:

  • Your account — your email address, and if you sign in with Google, the name and email Google shares with us. Sign-in links and service emails are sent through Resend, our email provider (contract).
  • Your courses — the courses, tags and folders you create are stored on your own device and synced to our database (hosted by Supabase) so they follow you between devices. They stay private to your account unless you share them (contract).
  • Share links — creating a share link makes that course readable by anyone who has the link. Your tags and folder organisation are stripped from the shared copy and are never visible to viewers.
  • Billing — Hooplan Pro subscriptions are handled by Stripe. Card details go directly to Stripe; we store only your plan status (contract).
  • Feedback and contact — in-app feedback is filed in our issue tracker (GitHub) credited by first name and surname initial only, never your email address. The contact form emails us your message with your address as the reply-to, and records nothing else about you (legitimate interest).
  • Error reports — when something breaks, an error report goes to Sentry so we can fix it. Errors only: no session recording, no browsing history (legitimate interest).
  • Analytics — Hooplan uses Vercel Web Analytics, which is cookieless and aggregate. Events carry only coarse facts like a course's level or rulebook — never titles, ids, or anything that identifies you (legitimate interest).

Hooplan sets only the cookies and local storage that signing in strictly requires. There are no tracking cookies, which is why you don't see a cookie banner.


Our service providers

We share personal data only with the providers that run our services for us, under contracts that limit what they may do with it: GitHub (website hosting, issue tracking), Google (fonts, sign-in, Firebase), Stripe (payments), Supabase (Hooplan's database and sign-in), Vercel (Hooplan's hosting and cookieless analytics), Resend (email), Sentry (error reports), and — for shows using our timing system — the show's own results service. We never sell personal data to anyone.


International transfers

Some of these providers process data outside the UK, mainly in the United States. Where they do, the transfer is protected by recognised safeguards under UK data protection law — the UK Addendum to the EU Standard Contractual Clauses, the UK International Data Transfer Agreement, or the UK–US Data Bridge where the provider is certified.


How long we keep data

Order and invoice records are kept for six years for tax purposes. Account data and the content you create are kept until you delete them or ask us to close your account. Diagnostic data (crash reports, error reports) is kept only as long as we need it to investigate problems. Analytics data is aggregate and doesn't identify you in the first place.


Your rights

Under UK data protection law (and the EU GDPR where it applies to you), you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to our use of it, and to receive a copy in a portable format. Email [email protected] and we'll act on your request; we may need to verify who you are first.

You also have the right to complain to the Information Commissioner's Office (ico.org.uk) or, if you're in the EU, your local supervisory authority.


Children

Our products are aimed at adults, and we don't knowingly collect children's data. Where a show's entry list includes junior competitors, that list is provided and controlled by the show organiser.


Changes to this policy

When we change this policy we update the date at the top. If a change is significant, we'll say so on this website or in the relevant app. This version (28 July 2026) replaces our earlier privacy statement in full.
